Help Wanted: Church Secretary

Primary Responsibilities:
To efficiently and accurately accomplish a variety of tasks for our church
To serve as secretary to the Leadership Team and to the Pastor
Qualifications - The Church Secretary must be able to:
Keep information confidential
Maintain a pleasant, positive and courteous attitude
Perform duties with minimal supervision
Be flexible, adjusting to a variety of tasks and scheduling
Be willing to learn new skills as needed
Use a computer for word processing and databases, email and website tasks
Daily Tasks:
Act as receptionist for the church and Playschool, receiving visitors and telephone messages
Check for email and telephone messages and handle appropriately
Sort and distribute mail
Care for monies received in the office
Maintain paper and website (Google) calendar activities, including use by outside groups*
Check with the Pastor for priority tasks, keep Pastor informed of work in progress
Maintain the church office in a neat and orderly manner
Weekly Tasks:
Type, copy, fold bulletins, children's bulletins and inserts. Place them in the sanctuary. Send bulletin information to persons who need it*
Keep ongoing information and announcements current, checking with people as needed
Update Hymn numbers on boards in the sanctuary
Act as financial secretary, keeping ongoing records of giving
File a copy of each week's bulletin and mail copies as directed
Monthly/Bi-Monthly/Seasonal Tasks:
Receive and email reports of monthly Leadership Team meetings, attend these meetings and serve as secretary* (held the 2nd Tuesday of the month at 7pm at the church)
Coordinate shut-in-meals for the 2nd Sunday of each month
Prepare information for newsletter. Prepare and mail copies.
Set out copies of Upper Room devotionals at least 2 weeks in advance of the date
Update and maintain ordering of Sunday School materials each quarter
Change paraments to match the liturgical seasons (in the sanctuary)
Maintain office and worship supplies, ordering as needed
Facilitate the ordering of flowers for Christmas and Easter, and prepare bulletin inserts about the floral gifts
Annual Tasks:
Prepare booklets for the Charge Conference, attend and serve as secretary
Send out requests for information for end-of-the-year reports, compile the data and submit to the Annual Conference
Help with Playschool registration process, and prepare annual directory of students and families
Prepare and mail/email annual statements of giving as requested
Prepare an updated Church Directory
Update the user Agreements for outside groups using our facility
Ongoing/As Needed Tasks:
Serve as Safe Sanctuaries Coordinator for Grace Church*
Design and produce flyers, sign-up sheets, mailings, etc. as needed
Maintain computer database of church members and friends
Care for membership change letters as needed
Help with the process of memorial contributions
Maintain permanent files of meeting minutes, handouts and other church records
Maintain file of equipment booklets
Provide support for Sunday School teachers and Teams by typing materials and making phone calls as requested
Make copies of materials for Playschool teachers
Sharpen pencils and add envelopes and note paper to pews as needed
* More detailed information will be given concerning these tasks
Terms of Employment
Supervision - The Church Secretary is supervised by the Pastor
Usual Working Hours - are 20 per week to include at least 2 consistant hours in the office each day Monday through Friday. Hours are to be scheduled with the Pastor, who is authorized to approve up to 5 additional hours per week, as the workload requires
Paid Time Off - after a year of employment, 20 hours of vacation time is granted. After 5 years, that is increased to 40 hours. Paid holidays begin immediately and include New Year's Day, Memorial Day, July 4, Labor Day, Thanksgiving Day and Christmas Day
Evaluation - upon hire, employment is temporary for 3 months. Job performance will then be reviewed by the Staff-Parish Relations Committee, and if satisfactory, permanent status will be granted. The Staff-Parish Relations Committee will review job performance annually
Salary - is set annually

Attention all Event Planners: Contact the church office with all dates and times for events so that they can be added to our centralized church calendar. As we add more events, it's imperative to have a centralized calendar system in order to prevent conflicts. This includes events held at the church and off-site, and ANY changes to previously scheduled dates, times and locations. Please contact Tammie during office hours or by email. Thank you.

 

Grace United Methodist Church Charge Conference was held Monday, June 27, 2011,  7 pm in the sanctuary. The results of the conference were as follows:

  1. The new leadership structure (see the PDF information packet) was approved
  2. Officers were elected for the remainder of 2011, July 1 – December 31 with one change; the Events Facilitation Team will be co-chaired by Carolyn Foust and Audrey Oakes
  3. The empty Vice Chair seat on the Leadership Team will be filled by the Team.

This special Charge Conference was necessary as part of our Matthew 28 prescriptions.   There will be another Charge Conference in the fall to elect for 2012. Please plan to attend the Charge Conference. If you have any questions, please contact the church office at (814) 364-1701.

We Have A Neighbor In Need!
Jody Covalt, a 55 yr. old father of three, suffered a severe infection resulting in the amputation of his foot above the ankle at Hershey Medical Center the week of Sept. 13. The Jody Covalt Trust Fund has been established at Northwest Savings Bank, 219 N. Pennsylvania Avenue, PO Box 395, Centre Hall, PA 16828. The Covalt family has entertained and inspired folks in our area with their gospel singing for many years. We hope that you will prayerfully consider offering whatever financial support you can to the trust fund.

Church Checkers Needed: The Trustees check the church building and lock up every night. If you are willing to volunteer your time to do this for a month, please sign up in the hallway. Contact Richard Hosterman or the church office for more information. (You will be provided with a list of what needs to be checked.) Currently, we have NO volunteers which means that the same person does this several months in a row. You can see why it is very important to have new church checkers volunteer. Thank you!

Centre Hall Potter Twp Food & Fuel Bank in need of volunteers. Distribution day is the third Tuesday of each month (except August.) There is a need for volunteers from 8-10 a.m. Help is also needed on food delivery days, which vary, for 1-1 1/2 hours. If you are able to help, let us know and you will be notified of the day and time about a week before the delivery. To volunteer, contact Erskine Cash at 364-9184.

Leadership Team Mtg Held the 2nd Tuesday of the Month @ 7 p.m.
The Leadership Team meets in the church library. The meeting is open to anyone interested in the ongoing Matthew 28 initiative, Visioning process, and other church matters.

Nursery Volunteers Needed
We are fortunate to offer the nursery for all who attend the second service however we are currently understaffed. Parents and grandparents are encouraged to join the Nursery Volunteers in an effort to allow all to serve in the nursery on a rotation basis.

If you would like to use the church facility for a meeting or event, contact the office at 364-1701. Scheduling is subject to availabilty. An agreement of use is required in order to prevent overbooking. Please call for more information.
